Set & Customise an Email to Students for Low Credits

When creating a product to appear in your coaching store, you can define whether a customisable and automated email should be sent to specific users when a student reaches a low number of package credits on their account. 


This is a great feature to help you use the system to proactively engage with your students and drive the turnover of coaching packages. 


There are two parts to utilising this feature within the system. Firstly, via the Store Admin area accessible via the Manager user role you can activate this feature against newly created or current coaching products, define which users should be notified when the package reaches the threshold and also the specific number of credits left in the players account to trigger this automation. 


Step 1 - Activating the Threshold Against Store Products

  • In the Manager user role, navigate to the Store Admin area.
  • Select Catalog from the side menu and Products from the drop down menu. On this screen, you can make edits to previously created products or add a new product.

  • After selecting the 'credit minutes' drop down in the product set up screen, you will see the option to 'Notify Low Credits'. By activating this checkbox, you will automate the notification email to be sent to the user roles when the credit threshold is reached. You can activate which users should be notified and the player will be sent the customisable email at step 2.
  • You can the add the Low Credit Limit which will be used to trigger when the automated email will be sent to each user.


Step 2 - Customise and Activate your Automated Email to Students

  • In the Manager user role, you can customise and activate the automated email that will be sent to the player. Firstly, navigate to the Email Templates screen accessible from the Emails menu navigation:

  • Click on the Edit icon on the Low Credits Template option. On this screen you can customise the text and formatting. When doing this, ensure that you do not delete or edit the areas in brackets (indicated in the red box below). These are used to pull into the email the specific information from the system for each student. Once complete, click save:
  •  The final step is then to activate this email by clicking the active checkbox.

This feature of the system is now setup and you and your students will be notified when the credits on their account reaches the threshold. The email to your students will look something like this:
