Improvements to Pay at Academy Reconciliation

One of the key elements of GLF.Locker, is the capability to reconcile activity with your internal and external payment systems. Internal relates to the payment methods within the GLF.Locker system which are:

  • Pay by Debit/Credit Card
  • Payment Link
  • Gift Cards
  • Package Credits 

External payment methods are those which occur outside of the GLF.Locker system, such as:

  • Cash Payment in a Golf Shop or Reception area
  • Credit or Debit Card Payment in a Golf Shop or Reception area
  • Charging a Members Account
  • Bank Transfer
  • Cash directly to the Coach


One of the payment options that can be selected at checkout is Pay At Academy. When this is used, the booking can be processed and shows as unpaid within the coaches schedule or class session. It is then up to the user to update the payment status of the booking when payment is made by the student. This could be by changing the payment type to one of the internal payment methods or updating the booking to have been paid using one of the external payment methods specific to your business. 


The payment methods that are available externally within your operation are controlled from the Manager user role. From the header, select Academy Settings:


You can add a new sub-payment type by selecting Add Sub-Payment Type:


Select View Sub-Payment Types and the Payment types will show and appear as active or inactive:


Previously, bookings processed using the Pay at Academy option would appear as Cash. To help you reconcile payments, when the Pay At Academy option is chosen at checkout and the booking added to the schedule, Pay At Academy will show on the Schedule View for Private Lesson Bookings and on the Attendees drop-down for class sessions:

Pay at Academy will also show for unpaid bookings on the View All Bookings Screens and the Revenue Reports, Lesson Delivered Reports and Lesson Lite reports:


When previously updating the paid status and choosing the payment method, the 'Cash' payment type would remain as the payment type. With this improvement, when one of the sub-payment options is specific to your GLF.Locker system is chosen, this will show on the schedule view for private lesson bookings, within the Attendees drop-down for classes, on the View All Booking Screens and the range of reports:

Perhaps not the most exciting development within the system, but one that will help you track activity within your GLF.Locker system!
