Log Notes via the Manager Customer Care List

GLF. Connect now allows Managers with the appropriate rights the ability to log notes and attach engagements on behalf of their team via the Manager Customer Care List. Previously, only the Coach who delivered the engagement could log the note required for it to count towards AMM activation via the Coach Customer Care List. 

What's new

  • User Based Right – This new enhancement will only be accessible to manager users who have been given the appropriate rights. If you do not have access to this feature but feel you should have, please contact the GLF. Connect Support Team.
  • Managers can log notes and attach engagements for their team – Once activated for a Manager, that Manager can log a note and attach an engagement via the Manager Customer Care List for any member who is assigned to a primary coach. As with the existing Coach functionality, an engagement must be attached for the note and dropdown responses to be logged successfully.
  • Quick link from the Manager schedule – Managers can now log a customer care note directly from the Manager schedule view, using the same quick-link button already available on the Coach schedule. This works for both private lessons and classes and will only appear for students who are members, assigned to a primary coach and when the engagement has been delivered rather than upcoming.

  • See who logged or edited a note – The Customer Care screen for a member now shows Note Logged By, displaying the name of the user who logged the note. If the note is later edited, a Note Edited By field shows who made the edit.

  • New column on AMM Engagement reports – The Club and Coach AMM Engagement reports (Play 9, Last 7 Days and All Engagements tabs) now includes a Note Logged By column, showing which user logged each engagement note.

How to use

Manager – logging a note on behalf of a team member (Manager Customer Care List):

  1. Open the Manager Customer Care List.
  2. Select the member you want to log a note for.
  3. Attach the relevant engagement.
  4. Add the note and any required dropdown responses, then save.

Manager – logging a note from the schedule:

  1. Go to the Manager schedule view.
  2. Select a private lesson or class booking.
  3. Use the quick-link button to log a customer care note, as already available on the Coach schedule.

Checking who logged or edited a note:

  1. Open the Customer Care screen for the relevant member.
  2. Look for the Note Logged By field to see who logged the note, and Note Edited By if it has since been edited.
  3. To see this across reporting, check the new Note Logged By column on the Club, Coach and All Clubs AMM Engagement reports.
